Main Ballroom Capacity:
We can now confirm that our 8,000 sq ft main ballroom will be at fire code capacity at least on Saturday!
We have a Salsa room, Zouk room and now a Kizomba room too so we can continue to sell tickets and provide an amazing all night experience but we're giving every attendee this warning moving forward...
Main ballroom doors will open no later than 11:30pm Saturday Sep 11th for the Grupo Extra concert and Bachata social at which time security will begin allowing people already in line to enter.
Dancing will already be happening in the other ballrooms but we recommend you get there early!
There will be a single point of entrance with 2 lines in front of the ballroom entrance to count people in.
The "priority line" will be for full pass holders only however access will still be first come first serve until capacity is reached.
The "general admission" line will be for party pass, Saturday day/night pass and Saturday GA ticket holders.
From 11:30 - midnight, full pass holders may enter the priority line and bypass anyone still standing in the GA line.
Once the initial influx of full pass holders has entered, GA will be allowed to enter.
At midnight anyone remaining in line will be allowed to enter until we reach capacity. Full pass priority will no longer apply.
You may upgrade to a full pass by contacting us or do it during registration onsite and that will give you priority access but it does not guarantee your entrance once we hit capacity in the main room.
When we do hit capacity, if you leave the ballroom anyone standing in line waiting will be allowed inside to take your place.
Upon returning to the main ballroom you may not be able to enter unless we're under capacity at that time regardless of whether you're a full pass holder or not and have to wait in line.
Thank you so much for your support and understanding!
International Artists Contingency:
All international talent currently have Visa(s) to enter the US, are booked with us and in the process of renewing, or have been cleared to enter the country by the time of our festival. In the event any artist is denied entry we will do our best to replace them with comparable talent if we have enough notice ahead of the event. The festival will move forward regardless of any talent cancellations. Anyone wishing to refund because of cancelled talent is welcome to request a refund prior to the festival start date. Refund requests after the event starts will not be honored. In the event the cancelled artist was scheduled to teach a masterclass, we will replace them with another artist if practical however those speciality ticket holders will be entitled to a refund for the masterclass tickets only if they do not want to take the masterclass any longer.
Refund & Transfer Policy and Waiver:
Our refund policy has been updated on 9/1/2021. Tickets purchased prior to 9/1/2021 are still refundable in case of illness. Refund requests must be received prior to the start time on the ticket in order to be honored. Refund requests received after September 7th will be sorted and issued no earlier than September 15th. TICKETS PURCHASED AFTER 9/1/2021 ARE NON-REFUNDABLE HOWEVER THEY ARE TRANSFERRABLE TO PBF2022. Guests are also able to transfer their ticket to someone else for FREE up to the start date of the event. Valid ID is required to match the name of the person on the reservation. If a ticket was purchased as a gift for someone else we will require the original person that purchased the ticket to check in. All attendees will be required to sign this waiver upon check in: https://phoenixbachata.com/festival-waiver
Any attendee that is unwilling to sign the waiver will receive a refund and will not be admitted.
Standards of Conduct & Safety:
Close physical contact is to be expected at a Latin dance event however that requires a heightened responsibility among attendees to observe good hygiene, respect one another, seek and receive consent to touch someone else, and refrain from potentially dangerous movements especially if impaired. The organizers reserve the right to refuse admission to or expel a festival attendee WITH a full refund for hygiene or personal conditions that may put the health of other attendees at risk. The organizers reserve the right to refuse admission to or expel a festival attendee WITHOUT A REFUND for repeated behavior that is harassive, predatory, violent, reckless or otherwise dangerous.
