Privacy notice
Who we are. The British Dental Students' Association (BDSA) runs this conference and decides how your details are used. Questions: n.shyha1@newcastle.ac.uk.
What we collect. Your name and email, your university and year, your T-shirt size and non-alcoholic preference where your ticket includes them, your BDA membership number if you buy at the member price, and any dietary needs or allergies you choose to tell us.
Why. To issue your ticket, run the conference and its socials, give you access to the conference app, order T-shirts, and check member prices with the BDA. Dietary and allergy details are used only for catering, and only with your consent. You can leave that question blank, and you can ask us to delete your answer at any time.
Who sees it. Ticket Tailor (our box office) and Stripe (card payments) handle your details for us. The BDA receives membership numbers only, to check them. Our caterers receive only the dietary details they need to feed you. We never pass your details to sponsors unless you choose to scan your pass at their stand in the app, and the app tells you exactly what is shared before you do.
How long. Dietary and allergy details are deleted after the conference. Everything else is deleted by 31 March 2027, apart from records we must keep for accounting.
Your rights. You can ask to see, correct or delete your details, and you can withdraw consent for your dietary details at any time. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
