Greetings:
As we prepare for Edward Waters University’s 2023 Homecoming Experience “It’s A V.I.B.E”, we are in search of local businesses to participate as vendors during the week. We believe that your business can contribute to and enhance our overall Homecoming Experience. We are looking for vendors for the following events:
- Market Monday held on October 2- 12:00pm-3:00pm
- Block Party held on October 2- 7:00pm-11:00pm
- Yard Fest held on October 6- 7:00pm-11:00pm
- NPHC Step Show- October 7- 7:00pm-11:00pm
As spaces are limited, it is imperative that vendors apply as soon as possible. Please also keep in mind the following stipulations:
- Vendors are not permitted to sell food/concession items, without approval.
- Vendors will not receive any tickets for these events because vending, in order to attend an event they must obtain an event ticket. (please revise this)
- There will be no on-site vendor registration for this event.
- All food and product trucks must be self-sustaining. The University will not provide any electrical outlets, water lines, generators, or additional needs.
- These events will be held rain or shine, so please plan accordingly
Vendor Guidelines:
Vendor agrees to submit to Edward Waters University for prior approval all products, signs, literature and other display and advertisement materials (hereafter collectively referred to as product and materials) prior to their display and/or sale. Edward Waters University in its sole discretion may grant or withhold its approval of said products and materials and Vendor is prohibited from displaying and/or selling any unapproved products and materials. Products and materials shall be submitted to Edward Waters University for approval no later than seven (7) days prior to the beginning of the Occupancy Period. This information will be sent to the Director of Student Activities and Leadership, Victor D. Chrispin Jr., v.chrispin@ewc.edu
Vendor may not sell any product, which uses the EWU name, logos, trademarks, service marks or images without prior written approval, via appropriate license, from the University and/or its licensing authority and payment of applicable licensing fees.
Vendor shall be responsible for installation and removal of its exhibit display in the Designated Area. Vendor must remove all debris or trash resulting from his/her commercial vending from University’s campus, as well as products and equipment brought by Vendor onto University’s campus. Vendor must leave Edward Waters University campus, as well as the Designated Area, in the same condition in which it was found prior to use by Vendor.
Vendor and Vendor’s representatives shall at all times maintain a professional demeanor. Vendor and Vendor’s representatives shall also dress in appropriate attire (shirts and shoes required), adhere to all EWU no- smoking policies and refrain from the excessive use of stereos, tape players, microphones and other similar sound producing and amplification devices. Excessiveness will be determined at the sole discretion of Edward Waters University. Appropriate attire will also be determined at the sole discretion of EWU.
Vendor is a transient commercial tenant and not an employee, agent, partner or joint venture of EWU. Edward Waters University shall have neither supervision nor control over Vendor’s employees, agents and representatives in the performance of their duties; such persons shall at all times and in all places be subject to Vendor’s sole direction, supervision and control. Said employees, agents and representatives, and any other persons in or about the premises at the instance or request of Vendor, shall conform to all rules established by Edward Waters University to govern the general conduct of persons in or about said premises. Vendor shall not have the power or authority to bind Edward Waters University in any promise, agreement or representation other than as specifically provided for in this Agreement.
Vendor hereby covenants and agrees to indemnify and hold harmless from and against any and all claims losses, liens, fines, demands, suits, actions, taxes, penalties, expenses, assessments, premiums or liability and settlements of any kind or nature, arising from or in any way connected with this Agreement, or any of the rights and responsibilities required, or referred to, in this Agreement, including reasonable attorneys’ fees, expert witness fees, and court/arbitration costs. These indemnifications shall survive the term and any renewals of this Agreement.
Non-discrimination: Vendor agrees not to discriminate on the basis of race, religion, color, age, disability, sex, marital status, national origin, veteran status and sexual harassment in its operation, management and employment practices and with respect to availability and accessibility of products and/or product services to the public. Vendor agrees to comply with the all-applicable laws of Florida and of the United States of America regarding such non- discrimination and equality of opportunity.
Failure of Vendor to comply with the terms of this provision shall subject Vendor to the following:
- First Violation: Warning
- Second Violation: Fine in the amount of $5000
- Third Violation: Vendor suspension from Campus of 1 Calendar Year Forfeit of all payments made.
MISCELLANEOUS
Cancellation: This Agreement may be terminated by Edward Waters University, with or without cause, at any time when deemed in the best interest of the University upon providing Vendor with two (2) days prior written notice of cancellation. In the event of a breach by Vendor of the terms of this Agreement, EWU may terminate this Agreement immediately upon providing Vendor with verbal or written notice.
We are asking vendors to check-in at the event location an hour before the event starts to ensure your table and materials are ready as well as troubleshoot any issues. Your registration is completed with payment. Fees varies per event. Your fee includes; one table and two chairs.
