PineBelt Portal Con opens a realm of opportunity for cosplay, gaming, comics, anime, sci-fi, and all things fan-fiction with family fun to the PineBelt of south Mississippi — and we want you there! Reach passionate local and regional fans in an affordable, well‑promoted event with steady foot traffic, curated Artist Alley, local legends and lore, panelists of professional caliber and family‑friendly programming!

What we offer:

• Indoor and outdoor vendor area: high-visibility placement near panels, artist alley, and gaming rooms. 
• 8×10 booth package: with a table & two chairs per request. Indoor area is first come first serve
• Artist Alley: table/bench options for illustrators, creators, and small-format sellers.
• Food Truck Plaza: dedicated spaces with easy customer access and nearby seating.
• Marketing & Support: featured in event social media, event map, email blast, and on-site signage
• Family-friendly crowd: programming designed to keep attendees in vendor areas throughout the day.

Pricing

• Standard Vendor — 8×10 Booth: $30.00 all day (Regardless of category)
• Additional Vendor Space - $20 per 10 ft extra needed
• Food Truck Space: $50 all day   Food Booth 8x10:  $30 all day
• Electricity +$15 (vendor provides their own extension cords)

Important dates & logistics:

• Load‑in times: [Starts at 7AM] Vendor parking and unloading zones available.
• Cancellation/refund policy: Vendor protection for event cancellation is sold with a third party vendor through this application but can be purchased for an additional $5.00

Terms and Conditions:

All conduct, products, displays, and materials associated with vendors' participation must align with the event’s positive, family-friendly environment. The sale or display of illegal or prohibited items is strictly prohibited.

Vendors are responsible for providing all necessary materials for my exhibit, including tents, equipment, displays, drapes and products. All canopies must be self-supporting and secured with concrete weights or sandbags; sub-ground anchors are not permitted. All items must fit within the boundaries of my registered booth space and must not encroach upon pedestrian walkways. If a generator is used, vendor will provide a minimum 100-foot extension cord of appropriate gauge for my power requirements. Vendors are responsible for maintaining a clean booth area throughout the event and will supply their own trash receptacle and bags, which must be placed curbside for removal following the festival.

Apparel or merchandise bearing the name “Pinebelt Portal Con” or any similar designation may not be sold without the express authorization of Friends of the Lumberton Library Inc.

Vendors are solely responsible for collecting, reporting, and remitting all applicable Mississippi sales taxes related to their gross sales at Pinebelt Portal Con. The Festival Committee will provide reporting materials and submission instructions at the conclusion of the event.

Vendors are responsible for obtaining and maintaining any required business licenses, permits, or tax identification numbers mandated by the State of Mississippi or applicable local authorities. Friends of the Lumberton Library Inc assumes no responsibility for my failure to comply with state or local tax laws.

All registrations are non-transferable and non-refundable, including cancellations and no-shows. The event is held partly outdoors and all fees paid or payable under this Agreement are non-refundable except as expressly provided herein. In the event that weather conditions or other unsafe or impracticable circumstances make it unreasonable or impossible to hold the event as scheduled, the event will not be deemed canceled but will instead be rescheduled to the next reasonably available date. This Agreement will remain in full force and effect, and any payments made will be applied to the rescheduled date. If a vendor declines the rescheduled date, such refusal will be deemed a cancellation, and all payments will be retained by Friends of the Lumberton Library Inc who will make rescheduling determinations in good faith and will notify participants promptly. Optional refund protection may be purchased through XCover during the registration process and checkout, an independent third-party provider not affiliated with Friends of the Lumberton Library Inc.

Vendors are solely responsible for maintaining appropriate liability insurance and for complying with all applicable requirements of the State of Mississippi and assume full responsibility and liability for any incidents, injuries, losses, or damages arising from their exhibit or participation, undertaken entirely at their own risk. Friends of the Lumberton Library Inc, including its organizers, volunteers, sponsors, and affiliates, shall not be held liable for any injury, accident, loss, theft, or property damage related to participation in or attendance at Pinebelt Portal Con. Participation is voluntary, and all participants assume any associated risks.

Friends of the Lumberton Library Inc reserves the sole and absolute right to remove any vendor who fails to comply with the rules, standards, and requirements outlined in this Agreement.
