Welcome to the SHAPE Travel Group (STG)! We are a non-profit organization run entirely by enthusiastic international volunteers, offering memorable day trips and excursions exclusively for SHAPE and NATO ID cardholders and their guests. Whether you're a seasoned traveler or new to exploring Europe, STG is here to help you discover exciting destinations in a friendly, welcoming environment.

Our trips provide transportation to the destination city, but please note that our volunteers serve as escorts, not professional tour guides. If you prefer company during your adventure, feel free to join our escort for the day. Prefer to explore solo? That’s perfectly fine—we’ll simply see you back at the designated pickup spot for the return trip to SHAPE.

Who Can Join?
Passengers must be SHAPE or NATO ID cardholders or be accompanied by one as a sponsored guest. It's the ID holder’s responsibility to obtain the necessary visitor passes and remain with their guest throughout the trip. Trips depart and return from the Pizza Bowl parking lot at SHAPE, with no alternate pick-up or drop-off locations permitted for security reasons.

Age & Travel Requirements
Children must be at least 5 years old and able to travel without a car seat. Minors under 18 must travel with a parent or designated guardian, who must carry a signed and dated letter of designation and medical power of attorney for the specific trip.
All travelers must carry:

  • SHAPE ID or SHAPE access pass

  • Valid passport and/or protocol ID (as required)

  • Visa (if needed for the destination)
    It is each traveler's responsibility to ensure they meet entry requirements for the country we’re visiting. STG is not liable for denied entry due to missing or incorrect documentation.

Booking & Payment
Online reservations must be paid in full at the time of booking. If paying with cash, payment must be made during the next STG office hours after submitting your form. Until payment is received, your seat is not guaranteed. Our office is located in the Carrefour plaza on SHAPE, next to the Optical Shop. We’re open Mondays from 14:00–16:00 and Thursdays from 11:00–13:00. Payment options include Visa, MasterCard, AmEx, Bancontact, or cash (Euros, in person).

Refunds & Cancellations
You may cancel your reservation up to 7 days before the trip for a full refund—just email us at FrontDeskSTG@gmail.com and include your receipt. Refunds are issued by the same method of payment.
If cancelling within 7 days, email us, and if it’s within 24 hours, contact your trip escort (you'll receive their info the day before) and email us as backup. Refunds are not guaranteed within 7 days of departure.
STG may cancel trips due to low bookings or unforeseen circumstances. If this occurs, a full refund will be issued. Please note: we are not responsible for expenses related to delays or overnight stays caused by events beyond our control.

Coach Travel Guidelines
Your fare includes round-trip transportation, insurance while on board, and driver gratuities. Additional insurance is your responsibility.

  • Please arrive 15 minutes before departure—coaches leave promptly.

  • There are no assigned seats; choose freely but keep the same seat on the same coach throughout the trip.

  • Smoking is not permitted on the bus.

  • Most coaches have restrooms on board, and longer trips include scheduled stops (but not usually on return trips).

  • For safety and legal reasons, one-way travel is not allowed—travelers must return on the same coach they departed on. Those who violate this policy will not be allowed to join future trips.

Pets & Service Animals
Pets are not allowed. If you travel with a service animal, please contact us in advance—we’ll be happy to accommodate you!

Communication

All STG communications are sent via email, including ticket delivery, trip updates, and a reminder the day before your trip. Please provide a valid email address at checkout and check your inbox regularly. STG uses its email database solely to share important trip-related information and updates. We do not sell your personal information, and your contact details will never be used for unrelated marketing purposes.
