Ticket Policy - June 2026
Introduction
UN Women UK is committed to ensuring that our events remain accessible and inclusive while also protecting the financial sustainability of our fundraising and engagement activities. This policy establishes a transparent and consistent framework for the allocation of complimentary and subsidised tickets for paid events.
Principles
All decisions regarding complimentary or discounted tickets will be guided by the following principles:
Mission Alignment – Tickets should support the organisation's charitable objectives and strategic priorities.
Equity and Inclusion – Financial barriers should not prevent participation from individuals whose voices, experiences, or contributions are valuable to the event.
Financial Sustainability – The number of complimentary and discounted tickets must be managed to ensure events remain financially viable.
Transparency and Fairness – Requests will be assessed against consistent criteria.
Pay-It-Forward Support – Attendees and donors will be encouraged to contribute towards an event accessibility fund to support subsidised attendance.

4. Standard Paid Tickets
All other attendees should purchase tickets at the advertised rate.
Annual Allocation
To ensure financial sustainability:
30% of total event capacity may be allocated as complimentary and subsidised tickets based on the budget of each event. The number of complimentary tickets for individuals experiencing financial hardship will be determined by the number of Pay-It-Forward tickets bought for that event.
Exceptions require approval from the designated budget holder.
Event budgets should include an annual accessibility allocation where feasible.
All recipients of complimentary and subsidised tickets will receive a written notice confirming the basis on which the ticket has been provided.
The notice will make clear that:
The complimentary ticket is granted at the sole discretion of UN Women UK.
The ticket is provided as a one-off exception or discretionary allocation under the Complimentary and Subsidised Ticket Policy.
The provision of a complimentary or subsidised ticket does not create any entitlement to complimentary or discounted attendance at future events.
Future requests will be assessed independently and in accordance with the policy in place at the time.
UN Women UK reserves the right to amend or withdraw its complimentary and subsidised ticket arrangements at any time.
Application Process
Individuals requesting complimentary or discounted tickets must complete a form.
Applications should include:
Name and organisation (if applicable).
Reason for requesting support.
How attendance will contribute to their work, community, or professional development.
Whether they are seeking a complimentary or discounted ticket.
Applications will be reviewed against this policy and available allocation.
Submission of a request does not guarantee approval.
Assessment Criteria
Requests may be assessed against:
Criteria | Considerations |
Financial Need | Would cost otherwise prevent attendance? |
Strategic Value | Does attendance support organisational objectives? |
Inclusion | Does attendance improve diversity and representation? |
Community Impact | Will learning or opportunities be shared with others? |
Contribution | Is the individual participating in the programme or event delivery? |
No single criterion guarantees approval.
Pay-It-Forward Fund
To support accessibility:
Event registration pages should include an optional donation to sponsor attendance for others.
Donations received will be ring-fenced within the event budget where practical.
Sponsored places will be allocated according to this policy.
UN Women UK cannot guarantee that Pay-It-Forward contributions will fully cover all requests received.

As a general principle, event ticket purchases are non-refundable.
Refunds will not be issued in the following circumstances:
The attendee can no longer attend the event.
Travel or accommodation arrangements change.
Personal circumstances prevent attendance.
The attendee chooses not to attend.
Ticket Transfers
If an attendee is unable to attend, tickets may be transferred to another individual subject to:
Notification being provided to UN Women UK

Capacity and operational considerations
UN Women UK reserves the right to refuse a transfer where it is not reasonably practicable to accommodate the change.
Event Cancellation or Significant Changes
If UN Women UK cancels an event and is unable to offer a suitable alternative date or format, attendees may be offered:
A refund; or
The option to convert the ticket value into a donation; or
A transfer to a future event.
Where an event programme, speaker line up, venue, date, or format changes, UN Women UK will make reasonable efforts to notify attendees. Such changes do not automatically entitle attendees to a refund.
Please remember the ticket price is a donation to our work at UN Women UK. When an event is cancelled or moved online due to weather conditions, tickets sold may not be refunded.
Exceptional Circumstances
UN Women UK may, at its sole discretion, consider refund requests in exceptional circumstances. Any decision will be final and made on a case-by-case basis.
