We currently collect and process the following information:

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Completing forms on our website (for example gift aid or a donation)

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Our website is hosted by Krystal Hosting. They keep records of activity on visits to our website. This is considered as personal data as it may be possible to link an IP address to a specific person at a specific time.

We use the information that you have given us in order to improve our offering to young people, to fundraise or process donations for the group, and also to contact you should you have requested this. In some instances such as when Scout sections are full, with your consent we will hold your personal details so we are able to contact you when a space becomes available.

We may share this information with external fundraising bodies or with The Scout Association.

Under the  UK General Data Protection Regulation (GDPR) Article 6, the lawful bases we rely on for processing this information are set out below. At least one of these will apply when we process your personal data.

How we store your personal information

  • Your information is securely stored using our web hosting provider Krystal Hosting via web cookies, and using Secure Online Cloud Storage through Nextcloud and Google.  
  • We will keep your data for up to 6 years unless it is necessary for us to keep it for longer (for example if we need to hold details of a donation for tax purposes). We will then dispose your information by deleting it from our Online Secure Storage. If we hold paper records, these are destroyed.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information.
  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
