Privacy Policy

Last updated: 19 October 2026

1. Introduction

This Privacy Policy explains how personal information is collected, processed, stored and shared when customers make bookings for, attend or otherwise interact with events managed through booking systems administered by Mania Events Ltd ("Mania Events", "we", "us" or "our").

Mania Events has been appointed to provide booking administration, customer support and event staffing services on behalf of event organisers and host venues.

We are committed to handling personal information responsibly and in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

This policy applies to bookings made through our managed event booking systems and associated communications.

2. Our Role and Responsibilities

The events are delivered through arrangements involving the following parties:

  • Host Venue / Event Organiser: The organisation responsible for hosting the event and determining the purposes for which customer information is collected and used.
  • Ice Park Ltd: The event equipment provider, which may receive relevant information where necessary for event delivery, safety, incident management, insurance or other legitimate operational purposes.
  • Mania Events Ltd: The appointed event staffing and booking system administrator, responsible for facilitating bookings, customer communications and associated operational services.

For the administration of bookings, Mania Events generally acts as a data processor, processing personal information on behalf of the relevant data controller, normally the host venue or event organiser.

Mania Events does not ordinarily determine the independent purposes for which customer information is collected or subsequently used by the host venue.

Where Mania Events processes personal information for its own legally required purposes, it may act as an independent data controller for that limited processing.

The precise responsibilities of each organisation are determined by its actual activities and applicable data protection law.

3. Information We Collect

Depending on the event and the booking requirements, information collected may include:

  • Customer name and contact details, including email address, telephone number and billing address.
  • Booking references, dates, times, ticket types and quantities.
  • Details of additional attendees where necessary.
  • Payment status, transaction references and refund information.
  • Accessibility requirements, carer booking information and supporting eligibility evidence where required.
  • Customer enquiries, correspondence, complaints and feedback.
  • Incident reports, accident records and information relevant to insurance or legal claims.
  • Marketing preferences and records of consent.
  • Technical information associated with use of the booking platform, where applicable.

We aim to collect only information reasonably necessary for the relevant purposes.

Payment card information is ordinarily processed by the appointed payment service provider rather than directly by Mania Events.

4. How Information Is Used

Personal information may be processed for the following purposes:

Booking Administration

  • Processing and managing reservations.
  • Issuing booking confirmations, tickets and reminders.
  • Managing cancellations, amendments and refunds.
  • Verifying bookings and admission eligibility.
  • Managing event capacity and attendance.

Event Operations

  • Facilitating safe and efficient event delivery.
  • Supporting customer admission and on-site services.
  • Communicating changes to event arrangements.
  • Managing accessibility requirements and customer assistance.
  • Coordinating between Mania Events, Ice Park, the host venue and relevant service providers.

Customer Service

  • Responding to enquiries, complaints and requests.
  • Resolving booking or attendance issues.
  • Investigating incidents or disputes.

Safety, Insurance and Legal Compliance

  • Recording and investigating accidents or incidents.
  • Supporting safeguarding and health and safety procedures.
  • Sharing relevant information with insurers, brokers, legal advisers and claims handlers.
  • Establishing, exercising or defending legal claims.
  • Complying with applicable legal and regulatory obligations.

Event Reporting

  • Producing attendance and operational reports.
  • Reviewing event performance and customer experience.
  • Providing aggregated or anonymised statistical information to event stakeholders.

Marketing

  • Recording customers' marketing preferences.
  • Facilitating the transfer of appropriately consented customer information to the relevant host venue for its own marketing activities.

5. Legal Basis for Processing

Depending on the circumstances, the relevant data controller may rely on one or more of the following lawful bases:

  • Contractual necessity: Where information is needed to fulfil or administer a booking or associated services.
  • Legitimate interests: Where processing is reasonably necessary for event administration, operational coordination, customer service, safety, fraud prevention or the establishment and defence of legal claims, provided these interests are not overridden by individuals' rights.
  • Legal obligation: Where information must be processed to comply with applicable law.
  • Consent: Where customers have freely agreed to specific activities, including certain marketing communications.
  • Vital interests: Where processing is necessary to protect someone's life.

Where health, accessibility or other special category information is processed, an additional lawful condition will be identified and applied as required by law.

6. Sharing Information Between Event Partners

To facilitate the delivery and administration of the event, personal information may be shared between:

  • Mania Events Ltd;
  • Ice Park Ltd;
  • The relevant host venue or event organiser;
  • Authorised booking and payment platform providers;
  • Relevant event contractors and service providers;
  • Insurers, insurance brokers, claims handlers and legal advisers;
  • Emergency services, regulatory authorities and other parties where legally necessary.

Information may be transferred in either direction between Mania Events, Ice Park and the host venue where reasonably necessary for an authorised event-related purpose.

This includes sharing information for:

  • Booking verification and administration.
  • Event staffing, admission and operational coordination.
  • Customer communications and service delivery.
  • Accessibility arrangements and safety management.
  • Incident investigation and reporting.
  • Insurance administration and claims.
  • Complaints, disputes and legal proceedings.
  • Applicable regulatory or legal requirements.

Only information reasonably necessary for the relevant purpose will be shared, subject to appropriate safeguards and lawful authorisation.

Customers acknowledge that the delivery of their booking may require their information to be processed by more than one organisation involved in the event.

7. Sharing Information With the Host Venue for Marketing

The host venue may wish to contact customers about future events, experiences, activities, promotions, news or offers.

Where customers provide valid, optional marketing consent, relevant personal information may be shared with the specifically identified host venue for these purposes.

This may include:

  • Name.
  • Email address.
  • Telephone number, where consent covers that communication method.
  • Relevant booking or attendance information, where clearly disclosed and lawfully permitted.
  • Marketing consent preferences and associated records.

Marketing consent is separate from the booking process and is not required to purchase tickets or attend the event.

Where the host venue receives personal information for its own marketing purposes, it acts as an independent data controller for that processing and is responsible for complying with applicable data protection and direct marketing legislation.

This includes ensuring that marketing communications are lawful, respecting customer preferences, providing appropriate privacy information and honouring unsubscribe requests.

Mania Events acts solely as the administrator facilitating the collection and authorised transfer of marketing preferences and relevant customer information.

Mania Events does not assume responsibility for the content, frequency or management of subsequent independent marketing communications issued by the host venue, except to the extent required by applicable law.

Customers may withdraw marketing consent at any time by contacting the relevant host venue or using the unsubscribe mechanism provided in marketing communications.

Withdrawal of marketing consent will not affect the validity of an existing booking.

8. Booking and Operational Communications

Customers may receive essential communications relating to their booking, including:

  • Booking confirmations and tickets.
  • Event reminders and arrival instructions.
  • Changes to event times, locations or availability.
  • Cancellation and refund notifications.
  • Important safety or operational information.
  • Customer service correspondence.

These communications are necessary for the administration and delivery of the event and are distinct from optional marketing communications.

Marketing consent is not required to send genuine, necessary booking-related communications.

9. Information Relating to Incidents, Insurance and Claims

Where an accident, injury, complaint, dispute or other relevant incident occurs, information may be recorded and shared with appropriate parties.

These may include the host venue, Ice Park, Mania Events, insurers, legal representatives, emergency services and relevant authorities.

Information may be retained and disclosed where reasonably necessary to investigate an incident, fulfil legal obligations, manage insurance claims or establish, exercise or defend legal rights.

Any sensitive personal information will be handled subject to additional safeguards and applicable legal requirements.

10. Data Storage and Security

Mania Events uses reasonable and appropriate technical and organisational measures to protect personal information processed through the booking system.

These measures may include:

  • Restricted access to booking records.
  • Password-protected systems and account controls.
  • Secure booking and payment platforms.
  • Appropriate access permissions for authorised event personnel.
  • Confidentiality obligations.
  • Secure methods of transferring personal information.

Personal information may be processed by authorised third-party technology providers acting under appropriate contractual arrangements.

Although reasonable measures are taken to protect information, no electronic system can guarantee absolute security.

11. Data Retention

Personal information will be retained only for as long as reasonably necessary for the purposes for which it was collected, subject to applicable legal obligations and documented instructions from the relevant data controller.

Retention periods may differ depending on the nature of the information.

For example:

  • Booking records may be retained for event administration, accounting, reporting or dispute resolution.
  • Financial transaction records may be retained to comply with applicable legal requirements.
  • Incident and insurance records may be retained for appropriate limitation periods or ongoing claims.
  • Marketing consent records may be retained where necessary to demonstrate compliance and manage customer preferences.

At the conclusion of an event or service agreement, Mania Events may return, transfer, securely delete or retain information as required by the relevant contractual arrangements and applicable law.

12. International Data Transfers

Where booking systems or authorised technology providers process personal information outside the United Kingdom, appropriate safeguards will be applied where required by law.

These may include UK adequacy regulations or approved contractual safeguards.

13. Customer Rights

Subject to applicable law, individuals may have rights to:

  • Access personal information held about them.
  • Request correction of inaccurate information.
  • Request deletion of personal information in certain circumstances.
  • Restrict or object to certain processing.
  • Request transfer of information where applicable.
  • Withdraw consent where processing relies on consent.
  • Complain to the Information Commissioner's Office (ICO).

Requests relating to personal information processed on behalf of a host venue may be referred to the relevant data controller.

Mania Events will provide reasonable assistance in facilitating such requests where required.

14. Responsibility of Event Partners

Each organisation involved in delivering the event is responsible for complying with the data protection obligations applicable to its own activities.

The host venue is responsible for its independent use of personal information received for marketing or other purposes.

Ice Park is responsible for its own processing activities to the extent it acts as a data controller, and for complying with applicable contractual obligations where acting as a processor.

Mania Events is responsible for its own compliance obligations in its capacity as a booking administrator and data processor, or as an independent controller where applicable.

Mania Events is not responsible for independently determined uses of customer information by other organisations after lawful disclosure, except where responsibility arises under applicable law.

Nothing in this policy excludes or restricts any liability or customer rights that cannot lawfully be excluded.

15. Contact Information

16. Changes to This Policy

This Privacy Policy may be updated periodically to reflect changes in legislation, operational arrangements or the services provided.

The latest version will be made available through the relevant booking platform.

Any material changes affecting the use of personal information will be communicated where required by law.
