Privacy Policy for Bolton Walking and Outdoors Appreciation Society

The event organiser, Bolton Walking and Outdoors Appreciation Society, has the legal responsibility to tell ticket buyers and event attendees how their personal information will be collected and used. You can find their Privacy Policy below or contact them to request it.

"Buyer" refers to the person making any ticket booking for a BWOAS walk.
"Participant" refers to any person/s taking part in a BWOAS walk.
"Volunteer" refers to any person/s helping to navigate and manage the group on a specific BWOAS walk (a pre arranged list of names).

STORAGE OF PERSONAL CONTACT DETAILS
All personal contact details provided by the "Buyer" in signing up to a BWOAS walk will be securely stored on the Ticket Tailor platform. Only the BWOAS admin team of Colin, David and Tom have access to the login. Buyer email addresses will only ever be used discreetly to contact new members who are attending for the first time to ask about previous walking experience, as per the BWOAS safety guide.

EVENT WAITING LISTS

ANY email addresses supplied to the waiting list are securely stored on the Ticket Tailor platform. Email addresses will be used discreetly to let subscribers know when spaces become available. While a general email will be sent, contacts will be BCC'ed to remain anonymous to others outside the BWOAS admin team.

SUPPLIED "FIRST OR PREFERRED NAME" DETAILS

When filling in the Checkout Form, the buyer is asked to complete "First or preferred nick names of participant under this booking" for each ticket. First and preferred names of all participants WILL be shared or displayed in the public domain to provide a full list of those in attendance on any walk for safety reasons and organisational purposes. Such lists are likely to be shared publicly in Messenger and Whatsapp group chats. This information is not deemed to be sensitive and buyers should take care to only provide the first name or a nick name of all participants to keep surnames anonymous in the public realm.

PHOTOGRAPHY, VIDEOS AND SOCIAL MEDIA

All participants taking part in a BWOAS walk should be aware that other participants and volunteers in the group may capture images and video clips that are likely to then be shared online via social media. Participants and volunteers are welcomed to send such images to BWOAS to share on the walking group social media and other online platforms. Members of the BWOAS admin team respect anonymity online and will not TAG any participants or volunteers in posts about specific BWOAS walks on any walking group profiles or personal profiles under any circumstances.

It should be understood that some participants and volunteers may TAG their social media friends within the group in public or private posts following a walk. While participants and volunteers are encouraged to respect the privacy of others, the BWOAS admin team has no control, responsibility or liability over the online actions of walk participants or volunteers outside of the BWOAS admin team of Colin, David and Tom. All walk participants and volunteers should consider their own privacy when accepting friend requests on social media from other participants and volunteers. And, just to reiterate, ALL PARTICIPANTS AND VOLUNTEERS should respect the privacy and online anonymity of others.

M2M MAILING LIST SIGNUP
There is an option for ticket buyers to sign up to the Moors to Mountains mailing list on the Checkout Form. Moors to Mountains is entirely separate to BWOAS and is operated by admin team member Colin Liptrot as a business offering professionally guided walk for small groups and private Mountain Leader services. While team members David and Tom will have access to supplied contact information, only Colin will ever collect email addresses where the buyer has confirmed their wish to be included in the Moors to Mountains mailing list to be securely stored elsewhere. Any persons opting to take part will be contacted from moorstomountains@gmail.com to receive promotional material and news bulletins about upcoming guided walks and similar activities. Please see the Moors to Mountains Privacy and Data Storage Policy for further details.
