Cambridge Zero Ticketing Privacy Policy

Introduction

This policy explains how and why we collect and use your personal information when you register for event ticketing with Cambridge Zero.

Who will process my personal information?

When you register for event ticketing, the University of Cambridge (‘we’, ‘us’, ‘the University’ and ‘Cambridge Zero’ ) is the data controller.

Ticket Tailor, the ticketing platform, is the data processor. Please make sure you have read their own Privacy Policy with regard to how they will process your personal information on behalf of us.

This notice applies to the use of your personal information (also known as ‘personal data’) by the University of Cambridge, including its Departments, Institutes and Research Centres/Units, when you use our ticketing service, run by Ticket Tailor.

What personal information is collected and why

We collect contact details and information required for the delivery of the event and to ensure your safety during the event, such as your name, email, mobile number, address, accessibility and dietary requirements.

We use this information to deliver our obligations to you as a user of our event service, in particular to:

  • allow us to fulfil your request to attend Cambridge Zero events or activities and to keep in touch with you about it
  • allow us to deliver a tailored experience, for example to offer breakout sessions of your preference
  • to provide refreshments to meet your dietary requirements and accessibility requirements where we may have to make reasonable adjustments as required by law.
  • where relevant, create and share event materials, such as delegate lists or name badges, showing your name, organisation and role
  • identify ahead of or on the day of the event whether you have consented to have your photograph taken or be recorded for post event communications with our stakeholders

Who we share your information with and why

We may share your information with external organisations, such as venues hosting our event, to deliver an effective service to you. For example, the venue may require a record of all attendees for health and safety purposes (e.g. in the event of fire).

If you have sourced a ticket or product or service from us using the Ticket Tailor platform, Ticket Tailor is the data processor of your personal information on our behalf. We may transfer data from the Ticket Tailor platform to the Cambridge Zero SharePoint site, so that we can deliver an effective event experience.

We may need to transfer your personal information outside of the United Kingdom in order to provide you with the services and products you require or as necessary for our legitimate interests.

Any such transfers are carried out with safeguards in place to ensure the confidentiality and security of your personal information. Transfers are protected either by 'adequacy regulations' issued by the UK Government (declaring the recipient country as a 'safe' territory for personal data) or by standard contractual clauses issued by the UK Information Commissioner's Office (which give obligations for the recipient to safeguard the data).
