The event organiser, Cobalt Medical Charity, has the legal responsibility to tell ticket buyers and event attendees how their personal information will be collected and used. You can find their Privacy Policy below or contact them to request it.

When you buy a ticket, donate, or sign up to take part in a Cobalt fundraising activity, we may collect:

  • Emergency contact information for certain events (where appropriate)
  • Any voluntary information you provide (e.g., accessibility needs, stories, feedback)

All payment details are processed securely by Ticket Tailor or your chosen payment provider; Cobalt does not store your card details.


2. How We Use Your Information

We use your information to:

  • Process your ticket order or event registration
  • Send you your tickets, event information and updates
  • Contact you about event changes or safety information
  • Process donations and Gift Aid
  • Administer your marketing preferences
  • Thank you for supporting the charity
  • Keep a record of event participation and fundraising history
  • Produce anonymous statistics to improve our events
  • Contact you under the “soft opt‑in” for similar future events (details below)

We do not sell your information to third parties.


3. Marketing Communications & Soft Opt‑In

Marketing Opt‑In

You can choose whether you would like to receive updates about Cobalt’s events, fundraising activities, news, and ways to support the charity. You can opt in during the checkout process or at any time afterwards.

You can opt out at any time by:

  • Clicking Unsubscribe in an email
  • Emailing fundraising@cobalthealth.co.uk
  • Calling 01242 535920

Your preferences will be updated within 28 days.


Soft Opt‑In (New Guidance)

Under UK GDPR “soft opt‑in” rules, if you:

  • Purchase a ticket for a Cobalt event
  • Take part in a fundraising activity
  • Donate to Cobalt

…we may email you about similar future events or activities, even if you have not explicitly opted into marketing — as long as you had the option to opt out at the point of purchase.

Every message we send will include a clear unsubscribe option.

If you opt out, we will not contact you for marketing again.


4. When We Share Your Information

We may share necessary details with:

  • Ticket Tailor and payment providers (for processing your purchase)
  • Email and newsletter platforms (to send event information or marketing if you have opted in or fall under soft opt‑in)
  • Event partners or venues (where required for safety or attendee lists)
  • HMRC for Gift Aid claims

We do not share your information outside the UK/EEA unless adequate protections are in place.


5. How Long We Keep Your Information

We retain ticketing and fundraising information only for as long as needed:

  • Event records: up to 3 years
  • Gift Aid records: 6 years (legal requirement)
  • Marketing data: until you opt out
  • Donation history: for financial and audit purposes

We use appropriate technical and organisational measures to protect your information. While no online service is completely risk‑free, we work hard to keep your data secure.
