The event organiser, Exposure Communications, has the legal responsibility to tell ticket buyers and event attendees how their personal information will be collected and used. You can find their Privacy Policy below or contact them to request it.
Manifest: The Global Summit for Men and Boys
1. Who we are
Manifest: The Global Summit for Men and Boys ("Manifest") is convened by the Centre for Policy Research on Men and Boys ("CPRMB"), a charitable incorporated organisation registered in England and Wales, charity number 1215012, company number CE041320, registered office 2 Dean Trench Street, Westminster, London SW1P 3HE.
Ticketing for Manifest Edition One is operated by Exposure Communications Ltd ("Exposure"), a company registered in England and Wales, which sells and invoices delegate tickets and exhibitor packages through the Ticket Tailor platform, and manages the connected Ticket Tailor account.
CPRMB and Exposure act as joint controllers for personal information collected through the booking process and used to deliver and promote the Event. Each is responsible for the parts of the processing it carries out, and the split of responsibilities is set out in section 5. CPRMB is the single point of contact for anyone wishing to exercise the rights set out in section 9.
2. What this policy covers
This policy explains what personal information we collect when you visit manifest-event.com, book a delegate ticket or exhibitor package, correspond with us, or attend the Event. It also explains what we do with that information, who we share it with, how long we keep it, and the rights you have.
3. Information we collect
When you book a ticket or exhibitor package we collect your name, email address, organisation, role, country, and the annual turnover band you self-declare for pricing tier eligibility. We collect access requirements and dietary requirements if you choose to share them. We collect billing information required to complete your purchase, which is handled by our ticketing and payment providers rather than stored by us. We collect your marketing preferences.
When you correspond with us we collect the content of your correspondence and any information you choose to include.
When you attend the Event we collect attendance data (badge scan on arrival and, where applicable, at session entry) and photographic and video footage of the day. Section 6 covers filming and photography in full.
When you visit manifest-event.com our servers and analytics providers collect standard technical information such as IP address, device type, browser, pages viewed and referring site. Section 10 covers cookies.
4. How we use your information and the lawful basis
We use your information to:
- process your booking, take payment, issue your ticket and manage your attendance (lawful basis: performance of a contract with you)
- confirm your pricing tier eligibility and, where necessary, request evidence of the annual turnover you have declared (lawful basis: performance of a contract and our legitimate interest in charging the correct rate)
- send you operational information about the Event you have booked, including joining instructions, programme updates and post-event materials (lawful basis: performance of a contract)
- send you marketing about Manifest, CPRMB’s work, and future editions, where you have opted in (lawful basis: consent, which you can withdraw at any time)
- meet access and dietary requirements you have shared with us (lawful basis: your explicit consent under Article 9 of the UK GDPR, given that this information can reveal health, religious or philosophical beliefs)
- run the Event safely, including managing capacity, first aid and security (lawful basis: our legitimate interest in the safe operation of a professional gathering)
- capture and use photography and video of the Event for post-event content and future Manifest promotion (lawful basis: our legitimate interest in recording and promoting the Event, subject to the objection route in section 6)
- comply with our legal, accounting and regulatory obligations (lawful basis: legal obligation)
5. Who we share your information with
We share your information with the following categories of processor and partner, only to the extent needed for the purposes above:
- Our ticketing and payment providers, including the ticketing platform on which delegate and exhibitor bookings are placed and the card payment processor it uses. These providers hold your booking record and process payment. Exposure holds the account with the ticketing platform and is the seller of record on invoices and receipts.
- our email service and analytics providers, which help us send operational and (where you have opted in) marketing emails and understand how manifest-event.com is used
- our event production, registration, catering and audiovisual suppliers at the QEII Centre, London, who receive only the delegate data needed to run the day
- our video and photography suppliers who capture the Event and produce post-event content
- professional advisers (accountants, lawyers, auditors) where necessary
- law enforcement, regulators or other public authorities where we are required to by law
As between CPRMB and Exposure, Exposure is responsible for the transactional data held on the ticketing platform (booking record, payment details, invoicing and refunds). CPRMB is responsible for delegate data used to plan and deliver the programme, communicate with delegates, and produce post-event content. Both entities are bound to handle personal data in accordance with the UK GDPR and the Data Protection Act 2018.
We do not sell your personal information. We do not share your personal information with sponsors, exhibitors or other delegates without your consent. No sponsor or exhibitor package includes delegate contact data.
6. Filming and photography at the Event
Manifest is a professionally filmed and photographed event. Video and stills captured on the day are used by CPRMB in post-event content, on manifest-event.com, on social channels, in press coverage and in future Manifest marketing. By attending you acknowledge that you may appear in this footage.
If you do not wish to appear in filmed or photographed material, please tell us in advance at privacy@manifest-event.com or on arrival at the registration desk. We will provide a visible marker and brief the camera team, and we will remove identifiable footage of you from post-event material where reasonably practicable. We will also act on objections made to us after the Event, on the same basis.
Where any speaker, panellist or contributor at the Event is under 18, we will not use identifiable footage of them without the written consent of a parent or guardian, and we will not name them without that same consent.
7. How long we keep your information
We keep booking records for seven years to meet accounting and tax obligations. We keep marketing contact records until you unsubscribe, and for a reasonable period after that to prevent re-marketing to you. We keep event photography and video indefinitely as a record of the Event, subject to the objection route in section 6. We keep correspondence for as long as needed to answer any follow-up.
8. International transfers
Some of our processors are based outside the UK. Where personal data is transferred outside the UK, we rely on the UK’s adequacy regulations, the International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses, as appropriate.
9. Your rights
You have the right to ask us for a copy of the personal information we hold about you, to correct information that is wrong, to ask us to delete information where the law allows, to restrict or object to how we use it, and to receive certain information in a portable format. Where we rely on your consent, you can withdraw it at any time.
To exercise any of these rights, email privacy@manifest-event.com. CPRMB is the single point of contact for data subject requests and will coordinate with Exposure where the request concerns transactional data. We will respond within one month.
If you are not satisfied with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
10. Cookies
manifest-event.com uses cookies to make the site work, to remember your preferences, and to help us understand how the site is used. Our cookie banner lets you accept or reject non-essential cookies. You can change your choice at any time via the cookie settings link in the site footer.
