Privacy Notice
Get Out More promises to protect and respect any personal data you share with us, or that we get from other organisations. This Privacy Notice tells you about the type of data we collect and how we use it.
Personal data we collect
When you book or register for one of our programmes, we collect, process, store and use personal data including your name and contact details. We need this information to contact you about your booking.
We also may ask for additional personal data about the participant booked or registered on the programme, such as date of birth, emergency contact numbers and details about the health and additional needs of the participant. We need this information to ensure the welfare of participants during a programme.
On specific programmes our funders or partners require us to collect monitoring data such as your postcode, ethnicity or religion. This is to monitor the reach of the programme.
During the course of a programme our project staff may collect personal data from participants such as accident reports and notes on health or behaviour incidents. This is to fulfil our statutory requirements and to monitor the welfare of our participants.
How we use your personal data
Personal data from bookings and registrations can be used as follows:
- To create a register for project staff to maintain the welfare of participants
- To generate monitoring reports for our board, or for our partners and funders. In this instance, personal data is statistical, therefore is anonymised
Who do we share your data with?
Get Out More’s project staff may be employed practitioners or third parties such as freelance practitioners. Get Out More needs to share personal data with its project staff such as registers, accident reports and notes on behaviour and health of participants to maintain the welfare of participants during a project. After a project, registers, accident reports and notes on incidents are returned to Get Out More and practitioners are instructed to delete and destroy all copies from their own records. We do not share this personal data with anyone else
All personal paper-based and electronic data is stored in accordance with General Data Protection Regulations 2018 and will be secured against unauthorised access, accidental disclosure, loss or destruction.
Marketing Communications
We operate an ‘opt in only’ communication policy for marketing materials. This means we only send out marketing materials to people that have explicitly stated they would like it. At the booking stage we ask if you would like to join the mailing list for that programme, to receive information about future programmes. If you opt in to receive marketing communications from us you consent to the processing of your data to send you such communications, which may include emails, newsletters, surveys and information about new events. We retain a record of your consent and store your contact details on our secure database. We review our database annually and if you have not reconfirmed your consent after 2 years, we will delete your contact details. We do not sell or share our database with anyone else.
You can choose to no longer receive marketing communications at any time, by contacting us at annie@getoutmorecic.co.uk or clicking unsubscribe from a marketing email. We will delete your data from our mailing lists and will cease to send you marketing communications.
Your Rights
You have a right to ask us to stop processing your personal data by either contacting us on 01535 668588 or info@getoutmorecic.co.uk. However, if you do not give us permission to collect personal data about participants on one of our programmes, we may have to decline the booking / registration, as this data is required to ensure the welfare of participants.
You have a right to ask for a copy of the information we hold about you. If there are any discrepancies in the information we provide, please let us know and we will correct them.
