RMKS event registration privacy notice
Updated: 17 October 2026
Who is responsible?
Rhein Main Kannada Sangha e.V. (RMKS), Frankfurt, Germany, is the controller of personal data collected for RMKS event registrations. For privacy questions or requests, email mail2rmks@gmail.com.
What we collect and why
We use buyer and attendee names, email addresses, contact numbers, booking details and attendance records to manage registrations, issue tickets, communicate essential event information, answer enquiries and admit attendees. We use membership details to check eligibility for member tickets and meal-interest answers to plan catering.
Optional answers about your city/town, cultural programme, volunteering and T-shirt interest help us plan activities and respond to the interests you share. The T-shirt survey collects only your family’s estimated quantity. It is not an order or payment; sizes and fit are not collected at this stage. Please avoid including unnecessary personal or sensitive information.
Required fields are marked on the booking form; without the information needed for registration, we may be unable to process your booking. Optional survey answers are not a condition of admission. If booking for others, please share this notice with them or their parent/guardian.
Legal bases
We process information needed to fulfil your booking under Article 6(1)(b) GDPR and information required for accounting or other legal duties under Article 6(1)(c). Our legitimate interests under Article 6(1)(f) are managing a safe, organised event, checking member eligibility, handling enquiries and planning activities requested through optional surveys. You can object to processing based on legitimate interests. Booking does not itself give consent to unrelated marketing.
Who receives information?
Authorised RMKS organisers and event helpers access information needed for their tasks. Ticket Tailor provides the booking platform as our processor. Where Stripe is used, it processes payment information under its own applicable privacy terms; RMKS does not receive your full payment-card details. Information may also be disclosed where legally required.
Providers may process information outside the European Economic Area, using applicable adequacy decisions or contractual safeguards. See Ticket Tailor's providers and safeguards and Stripe's privacy notice, or contact RMKS for details.
Membership applications and renewals through linked RMKS/easyVerein pages are a separate process with their own privacy information. An event booking does not automatically renew membership.
How long is information kept?
We keep booking and attendee information for as long as needed to administer the event, handle follow-up enquiries and resolve relevant claims. Optional survey information is kept only while needed for the stated planning and follow-up purposes. Accounting records are retained for the applicable statutory period. Information is then deleted or anonymised unless a legal obligation or unresolved claim requires longer retention.
Your rights
Subject to GDPR conditions, you can request access, correction, deletion, restriction or portability, and object to processing based on legitimate interests. Where we separately ask for consent, you may withdraw it at any time without affecting earlier lawful processing. Email RMKS using the address above.
You may complain to a data protection supervisory authority, including the Hessian Commissioner for Data Protection and Freedom of Information.
