Cancellation Policy

Cancellations made 1 month or more prior to the official start of our 55th Anniversary Reunion, will receive a 100% refund. Cancellations made after 9 September 2025 will incur a 100% fee.

As part of your relationship with Salzburg College and our 55th Anniversary reunion, the data you have provided will be processed.

General data processing

The processing and transmission of the data takes place in compliance with recording, information and reporting obligations, insofar as this is necessary due to laws or standards of collective legal structure or contractual obligations, including automatically created and archived text documents (such as correspondence) in these matters. Without this data, we cannot provide you with educational services. This applies mutatis mutandis to all internal as well as to external education offerings and services.

Your data is either provided to us directly by you or we collect your data in the context of your relationship with Salzburg College.

Transmission of relevant data in the respective individual case takes place on the basis of the legal provisions or contractual agreement with the following bodies:

• municipal authorities and district administrative authorities;

• legal interest groups;

• external education and service providers;

• Bundesanstalt Statistik Austria according to § 9 Bundesstatistikgesetz

• legal representatives;

• if and when applicable: tour operators & restuarants;

• creditors of the person concerned as well as other parties involved in any associated legal proceedings;

• banks involved in the payment student tuition and fees;

• additional insurance;

• IT service providers;

• Ticket Tailor, Stripe, Wise, Google Workspace for Education, Zoho Invoice, and other future software applications;

• other cooperation partners.

Data processing for the purposes of management and security of the system

Due to the applicable legal data security regulations, some of your data is processed within the administration and security of the system, such as the administration of user identifiers, the allocation of hardware and software to system users, and the security of the system. This includes automatically created and archived text documents (such as correspondence, transcripts, etc.) in these matters. Without this data processing, secure operation of the system and thus studying at Salzburg College is not possible.

Publication of professional contact data on the intranet

Contact details are published on the intranet for contact by colleagues and faculty. This is done out of our legitimate interest in facilitating student services.

Data processing in the event of disputes

If a legal dispute arises before, during or after a term at Salzburg College, the data necessary for the appropriate prosecution will be transmitted to legal representatives, respective authorities, and courts.

Processing of voluntary information - Consent

The provision of information is voluntary and based on your consent.

All consents can be revoked independently of each other at any time. A revocation has the consequence that we will no longer process your data for the above-mentioned purposes from this point in time, and thus the corresponding rights, advantages, etc. can no longer be used. This does not pertain to grades or transcripts as those are legal documents Salzburg College is obligated to safeguard.

Data processing outside the EU/EEA

Your data will also be processed, at least in part, outside the EU or the EEA, especially in the United States of America. The adequate level of protection shall result from:

• an adequacy decision of the European Commission pursuant to Article 45 GDPR.

• binding internal data protection regulations in accordance with Art 47 in conjunction with Art 46 (2) (b) GDPR.

• Standard data protection clauses pursuant to Article 46 (2) (c) and (d) GDPR.

• approved rules of conduct in accordance with Article 46 (2) (e) in conjunction with Article 40 GDPR.

• an approved certification mechanism in accordance with Art 46 para 2 lit f in conjunction with Art 42 GDPR.

• contractual clauses approved by the data protection authority pursuant to Article 46 (3) (a) GDPR.

• Exception for specific cases according to Article 49 (1) GDPR.

• Exception for individual cases according to Art 49 para 1 subparagraph 2 GDPR.

Duration of data storage

We store your data within the scope of the statutory retention obligations, namely concerning:

• Records and reports relevant to fulfill Salzburg College’s obligations in regard to grades and transcripts (minimum 15 years after a semester is completed);

You have the right to information, correction, deletion, restriction, data portability and objection. To do so, please contact us.

If you believe that processing of your data violates data protection law or your data protection claims have otherwise been violated in any way, you have the right to file a complaint with the Austrian data protection authority.
