1. Members’ Joining Agreement
Members of The Art Society, Kington Langley are reminded that on joining or renewing their membership they have given their contact details to the society so that they can be informed of the Society’s events and activities. At the same time they signed their acknowledgement to a Privacy Agreement. This agreement was formulated for individual societies by The Arts Society.
As a reminder of that agreement:
- Members’ details will be processed fairly and lawfully in order to satisfy the agreement entered with you on your admittance to membership. This will ensure that you receive the latest news and information about all upcoming events.
- Members’ details will be passed to The Arts Society to enable inclusion on the mailing of the quarterly magazine and other communications including information about any upcoming national events or items of legitimate interest.
- Members’ details may be disclosed to The Arts Society Area, or other affiliated societies for the purposes of disseminating relevant information of legitimate interest.
- Your details will be kept safely and securely and you have the ability to opt out of our communications at anytime.
However, by using our web based communications (website, bulk mailing (MailChimp) or Ticket Tailor or anything else we may introduce in the future) there are further privacy implications and these are detailed in Part 3 below.
2. Privacy Statement for Non-Members
This statement applies to non-members who contact us through our web based communications and who are not covered by the Members’ Joining Agreement in Part 1. There are other implication of using these web based communications which are detailed in Part 3 below.
The Information We Collect About You
The Society enables non-members to participate in our events and activities through contact forms and email addresses which may appear at times through our web based communications with you.
We collect information about you in order to process bookings and monitor Zoom and hall attendance. We do this to improve our services and to comply with health and safety requirements but we do not share your data with any third parties including other individual societies, The Arts Society Areas and The Arts Society.
Children
We will not process any data relating to a child (under 13) without the express parental/ guardian consent of the child concerned.
Marketing
We may like to send you information about future events which may be of interest to you. You have a right at any time to stop us from contacting you for marketing purposes or for providing information about events held by The Arts Society, Kington Langley and you can contact the Society’s Secretary at any time as below.
Access To Your Information and Correction
You have a right to request a copy of the information we hold about you. If you would like a copy of some or all of your personal information then please contact the Society’s Secretary as below.
We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is incorrect.

Web based communications usage information is collected using cookies. We do not use any data collected via cookies or website analysis products for any purpose other than reviewing activity and usage to enable improvements.

Our web based communications with you may contain links to other websites. This privacy policy applies only to our communications so when you link to other websites you should read their privacy policy. We cannot be held responsible for the security and data usage of other websites.
In particular, we now run ‘Hybrid’ lectures using ‘Zoom’ with a camera at the hall. Hall attendees are reminded that they may appear on camera &/or recordings.

Under GDPR we are not legally required to appoint a Data Protection Officer, but please contact the Society’s Secretary or Membership Secretary if you have any questions about our privacy policy or information we hold about you. There will be no charge for this service.
