The event organizer, The Jar, has the legal responsibility to tell ticket buyers and event attendees how their personal information will be collected and used. You can find their Privacy Policy below or contact them to request it.

Information We Collect

We collect personal information from participants in different roles:

  • Conveners. Name, email, mobile number, mailing address, payment details, and optional demographics.
  • Guests. Name, email, and mobile number (shared by Conveners or provided directly).
  • Volunteers. Name, email, mobile number, and, if relevant, emergency contact information.
  • Hosts. Name, email, mobile number, mailing address, and event logistics details.
  • Artists. Name, email, mobile number, mailing address, payment info, and promotional materials.
  • Donors. Name, email, mobile number, mailing address, payment info, and giving history.
  • Website visitors. Newsletter signups, form submissions, and standard analytics data.

Photos, video, or quotes may be taken at Happenings. We may use these for storytelling and promotion. You can let a staff member know if you prefer not to appear.

How We Collect It

We gather information through:

  • Ticket purchases via Ticket Tailor (with Stripe)
  • Forms on Typeform
  • Donations via Bloomerang
  • Newsletter signups on our website
  • In-person check-in or QR codes at Happenings
  • Secure storage in Microsoft 365 SharePoint (our central system)

How We Use It

We use your information to:

  • Share details and reminders about Happenings
  • Communicate with Guests (only about the event they are attending)
  • Process donations and send receipts
  • Send newsletters and updates if you opt in
  • Understand participation patterns and improve programs
  • Use photos, video, and quotes for storytelling (with an optout option)
  • Meet administrative and legal requirements

We never sell or rent your information.

When We Share It

We may share your information with trusted service providers who support our operations, such as Ticket Tailor, Stripe, Bloomerang, and Microsoft. These partners are required to keep your information confidential and use it only for services they provide to The Jar.

If you attend a Happening through an Engagement Partner, we receive your information from that partner with your permission and treat it as we would any other participant’s.

Guest Information from Conveners

Conveners sometimes share contact details for their Guests. We use this information only to communicate about the specific Happening. Guests may opt out at any time. We encourage Conveners to share this information only with their Guests’ consent.

Retention

We keep participant information for as long as it supports our mission and relationships. If you want us to delete your information, just let us know.

Security

We store information in secure systems and limit access to staff and contractors who need it to do their work. While no system can be guaranteed 100% secure, we take reasonable steps to protect your information.

Children

Our programs are primarily designed for adults, but we welcome participants under 18. If you are under 18, we ask that a parent or guardian provide your contact information or give consent for its use.

Your Choices

  • You can opt out of newsletters or updates at any time.
  • You can ask us to correct or delete your information.
