The event organiser, TRANSLIVING EVENTS, has the legal responsibility to tell ticket buyers and event attendees how their personal information will be collected and used. You can find their Privacy Policy below or contact them to request it.


Data Protection & GDPR

As part of running a small not-for-profit organisation, Transliving International collects necessary data in order to run its activities including events and shop sales. The type of data and how we use the data depends on your contact or involvement with Transliving. This includes general enquiries, membership, ticket purchases and making a purchase from our online shop. Transliving only holds information for advertising, marketing and public relations in connection with its core business; this may include past, existing or future customers or suppliers.

As Transliving only processes personal data for core business purposes, it is exempt from registration with the Information Commissioner’s Office (ICO).

What type of information we have:

General Enquiries

We will collect data provided by you in order to deal with your enquiry; this may include your name and contact details and other information you supply.

Membership

We will collect details applicable to your membership, including your name (and an alternative name), address, postcode, telephone number, email and details of spouse (when supplied).

Shopping & Online Sales

We will collect and process the following information: name and contact details, details of orders (including goods, sizes and preferences [such as colour]), and invoices and payments.

Ticketing and Events

We will collect, process, store and use personal data when you book a ticket to an event including your name, address, email address, dietary requirements, and room preferences together with payment information. We may also collect personal data that you give to us about other people if you register them to attend an event.

Payments by Phone or Post

When you supply card details by phone or by post we destroy the details of the card as soon as the payment is made. Our card processing machine produces a receipt with the last 3 digits of the card used. These are retained for seven years, before being destroyed.

Data we Collect from You

All personal data that you provide to us must be true, complete and accurate. If you provide us with inaccurate or false data, and we suspect identify fraud, we will record this.

If you are submitting personal data belonging to another person (such as when purchasing an event ticket on their behalf), you agree that you have notified that person of this privacy notice and, where necessary, obtained their consent so that we can lawfully process their personal data in accordance with this policy.

When you contact us by email or post, we may keep a record of the correspondence and we may also record any telephone call we have with you.

How we get the information and why we have it:

The personal information we process is provided to us directly by you for one of the following reasons:

Membership

  • Recording membership applications and renewals.
  • Supplying Transliving magazine (either online or via post).
  • Running Transliving Members Discount Scheme.
  • Providing information regarding Transliving events and other membership matters.

Shopping & Online Purchases

  • Enquiries about orders or potential orders (including offering advice on products and aftercare).
  • Processing an order.
  • Dealing with complaints or product returns.
  • Invoicing and payments.

Ticket Sales (including online orders)

  • Enquiries about orders or potential orders.
  • Processing a ticket order.
  • Running the event.
  • Invoicing and payments.
  • Cancellation & ticket sales

On some occasions, we also receive personal information indirectly, for example, when a third party places an order on your behalf.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  1. Your consent. (You can remove your consent at any time. You can do this by contacting us using the details above.)
  2. We have a contractual duty.
  3. We have a legitimate interest.

What we do with the information we have:

We use the information that you have given us to undertake membership functions, run ticketed events, process orders, produce invoices, take payments, and handle enquiries.

We will only share this information (in part or in full) if there is a legal duty to do so, or if we have your clear written or electronic consent.

How we store your information:

We store your information on secure servers provided by our web hosting company.

We do not allow other individuals or organisation to access your data unless they have a legal reason for doing so.

We use Stripe for online payments; we do not store details of your chosen payment method, for example, debit or credit card details. We use Ticket Tailor for processing tickets sales (who also use Stripe for online payments). Stripe and Ticket Tailor both store data in accordance with their own privacy policies.

We use MailChimp to facilitate our subscribed email lists (we only store your chosen email and first name).

Unless you give written or electronic consent, we keep your personal data for a maximum period of 24 months. We will then dispose of your information (or the parts for which you have not given consent) by erasing it from our servers.

Your data protection rights:

Under data protection law, you have rights, including:

  • • Your right of access - You have the right to ask us for copies of your personal information.
  • • Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • • Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.
  • • Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.
  • • Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
