Information that Wander Wild Scotland (WWS) holds about other people

All information that WWS collect from you through our booking forms is held securely and in compliance with EU GDPR regulations. We only use your data with your consent and in relation to your booking with us. You are free to withdraw consent at any time however your booking may need to be cancelled if you do so.

What information does WWS collect?

When booking an activity with WWS, typically (but not limited to) we will ask you for your name, email address, telephone number, medical information and emergency contact details. This list may change occasionally without prior notice.

Why does WWS need this information?

This information is required to run activities safely with awareness of any factors that may affect your ability to participate. Your phone number will be used to contact you if you are not at the meeting point if you are delayed, for example. It may also be used if there are last minute changes to your booking due to unforeseen weather conditions, for example. Your emergency contact will be used if there is an emergency situation. Disclosure of a medical condition does not necessarily mean that you can’t take part in an activity however it is important that WWS is aware so we can take it into account, and if necessary, it may be shared with Mountain Rescue teams in an emergency.

How is your information stored?

Information gathered is stored in an electronic format on a password protected laptop. On the day of the activity, a hard copy of the electronic information will be kept, securely, by the guide in their rucksack in the event of an emergency.

Data sharing

Your personal data will be shared with your guide who will be looking after you for the day (s) of your booking. In the event of an emergency, you data may be shared with emergency services (Mountain Rescue). Your data will not be shared with any further third parties.

How long does WWS keep your information for after an activity?

WWS will keep your information for a minimum of six years (or indefinitely if a legal claim might be made). After six years, your information will be destroyed by permanent deletion of electronic spreadsheets and emails or by cross-cut shredding of paper hard copies.

Access to your information

You have a right to request a copy of the personal information that WWS hold about you

Correction of your information

You may ask to correct personal information that you don’t believe to be accurate. We wish to keep accurate, up to date information in relation to your booking.

Deletion of information

you have the right to ask to delete personal information about you where:

• you think that WWS no longer need to hold the information for the purposes for which it was originally obtained

• WWS are using that information with your consent but you have now withdrawn your consent

• you have a genuine objection to use of your personal information by WWS

• use of your personal information is contrary to law or other legal obligations

Objecting to how WWS use your data

You have the right to tell us to stop using your personal data for marketing purposes. In this case, you will only be contacted in direct relation to your booking.

Restricting how WWS use your data

In some cases, you may wish to ask us to restrict how WWS uses your data. For example, if WWS asked to check the accuracy of your personal data. This might also apply if WWS no longer have a reason to use your personal data but you don’t want us to delete it. Where this right is applied, we will only use the relevant data with your consent or for a legal claim.

Withdrawing consent to use your personal data

You may withdraw your consent at any time and we will stop using your data for the purpose that consent was given.
